APPLICATION OF UNIQUE MEDICAL AND MANAGEMENT RECORDING AND REPORTING SYSTEM FOR SMALL PRIVATE PRACTICE/CLINICS

Concept

Many small private practices struggle with being able to manage patient data, and to control their pharmaceutical stocks, as well as with mandatory monthly government reporting. This results in compromised patient care, treatment and referral, as well as demotivation of clinic staff. Most of these clinics are not able to monitor their expenditure and income, and are therefore unaware of profits that they could use to improve patient care and services.

A simple system that enables doctors and their staff in these small private practices to recall up-to-date patient records at the touch of a button, and which also includes one-time data entry and reporting of financial data (costs, income and profits), disease profiles, government clinical reports and pharmaceutical and/or laboratory stock control would alleviate the above obstacles to efficiency in the management of small private clinics, and therefore in the improvement of overall patient care.

Angsamerah (www.angsamerah.com) has taken the initiative to develop such simple, user-friendly database software, which enables doctors and their staff to routinely enter data on patients, treatments, clinic pharmaceutical, laboratory, and office stock, expenditure and income.

This software also enables the clinic to prepare mandatory reports for the Ministry of Health, as well as to report on the disease and treatment profile of the clinic. This software is a unique product in Indonesia that aims to improve the efficiency of small private clinics, which would contribute to the overall strengthening of the health care system in Indonesia.

Angsamerah is now seeking support to expanding the development of this medical, financial and pharmaceutical recording and reporting software, and to roll this software out to 100 private clinics located in Jakarta and other cities in which Angsamerah has projects/networkings, and potentially to be expanded nationally.

Project Description

Beneficiaries

Direct beneficiaries will be a total of 100 private practices/clinics in selected cities with between one and three clinicians in selected private practices/clinics

Indirectly this project will benefit:

• Patients of the above 100 clinics in terms of improved efficiency of clinic and patient management and clinic improvement.  
• Local and national Ministry of Health in terms of receipt and quality of mandatory routine disease profile reports.

By rolling out this unique and efficient software, Angsamerah will be able to expand its influence in terms of educating clinicians on diseases related to sex, drugs and HIV.

Objectives

This project will contribute towards Angsamerah’s goal of improved health care in Indonesia. Therefore, the goal of this project will be to improved patient care through increased efficiency of small clinic management in these selected Angsamerah's partners.

The purpose (development objective) of this project is to increase the efficiency in managing patient and financial data in 100 small private practices/clinics in Jakarta and other cities.

Outputs and Activities
This project will have two outputs (see Annex 1):

Finalization of Database

Firstly, Angsamerah wishes to finalize their database prototype to meet the high standards of their urban clinics (http://www.angsamerah.com/clinic.html). This software has already been designing and is currently in use in Angsamerah clinics. However, it needs to be slightly improved before promotion to other private practices. Specifications have been prepared and will be used to finalize the software to meet requirements for use in small clinical settings of urban private practices in Indonesia.

The activities to achieve this output will include:

• Preparation of the database specifications 
• Finalization of the database by the Designer 
• Trialing the final database software in two Angsamerah clinics in Jakarta 
• Correction of errors in the software prior to roll-out 
• Recruiting and training an IT technician, who will be involved in the roll-out of the software to clinics 

Roll-Out of the software to 100 Clinics

The second output is the finalized Angsamerah Database is utilized efficiently in 100 small private practices/clinics within Jakarta and other cities. In order to provide this database to small private practices, Angsamerah is seeking the support of a donor/investor to subsidize 50% of the actual cost of the software. An assessment of the approximate realistic market cost of the software will be performed to ensure the price is not prohibitive for private practices/small clinics.

The activities to achieve this output will include:

• Market research to determine the demand and market cost of the Angsamerah database. 
• Promotion for applications from clinics to install databases through advertisement, social media, workshop announcements, networking. 
• Selection of applicant clinics – clinics will complete an extensive application questionnaire and interview process. 
• Contract selected private practices/clinics. 
• Customize the database for each clinic and install the databases in selected clinics. 
• Train clinic staff in the utilization of the database. 
• Provide ongoing support for utilization and repair of the database.
• Time Frame

This is project is expected to take approximately one year for implementation and evaluation.

Evaluation

Each participating clinic will be required to submit copies of their monthly reports from the database, including routine government reports. Angsamerah will analyze these reports monthly.

The final evaluation, based on the indicators in the logical framework in Annex 1) will include the following activities:

Statistical analysis of monthly reporting by private practices/clinics.

Private practices/cinics completing a final qualitative survey on efficiency of data management and utilization of data (Eg. staff time, decreased technical error).

Budget

This budget is based on the inputs estimated in the logical framework in Annex 1. Angsamerah is requesting about $ 60.000 (Annex 2) to cover the cost of finalizing this unique software, and rolling out the subsidized purchase and utilization of this database in 100 small private practices in Jakarta and other cities. In conclusion Angsamerah Institution has uniquely designed this investment to be mutually socially and economically benefited to all parties.
